Soundproof meeting rooms are designed to keep private meetings inside and outside noises from distracting and disrupting those in the meeting. There are three ways that is accomplished:

1. Doors – this is easily the weakest point in your walls. If you don’t already have one, upgrade to a solid door. Add a soundproof door seal kit to the door or upgrade to a soundproof door for extreme soundproofing needs like for sensitive meeting spaces.
2. Walls/Ceiling – most of the time, walls won’t be your biggest issue, but they may seem to be. Check for any gaps or poorly sealed spots like behind baseboards. The most overlooked place is the ceiling. If you have drop ceiling tiles and the wall doesn’t go up to the true ceiling, sound is easily able to transfer up and over the wall. Use ceiling tile backers to put a lid on your conference room!
3. Windows – sometimes your conference room has windows next to a busy street, a noisy parking lot, or even the grounds crews working. Use soundproof window inserts to block out that sound to keep those noises from disrupting your important meetings.

Conference rooms often have lots of hard surfaces like wood tables, drywall, and glass. These may be practical and functional, but they're not good for sound. You need to reduce reflections and add absorptive materials into the room to improve speech clarity and focus.

• Acoustic panels on the walls - Adding these will absorb echoes and reduce reflected sound. Place the panels at picture height on parallel walls for the biggest impact. Aim for an even spread of absorption rather than one “feature wall.” Balanced coverage = better meetings.
• Ceiling panels or clouds - If the ceiling is tall or reflective, add absorption overhead to tame the room without changing the look too much. We often recommend an acoustic cloud or two above the conference room table to catch those harsh reflections. If you have drop ceiling tiles, swap those out for acoustic ceiling tiles for an easy, effective way to add tons of quality absorption into the room.
• Hidden absorption - If you can choose floor surfaces, carpets are much better at reducing reflections than hard flooring like wood or vinyl. You can also add acoustic materials underneath the table to get much-needed absorption into the room in a way that no one will even see. Generally, economical acoustic materials are used here to help get your best bang for your buck.

Spreading out your acoustic panels through the room as evenly as possible is best for acoustics. If there is a presentation side of the room, adding in a few more panels on the opposite wall would be good for improving presentation reception. Lastly, adding in an acoustic cloud above the conference room table is important for controlling reflections off that hard surface.
